Description:

We are seeking a proactive and organized Operations Administrator to join our dynamic team. In this role, you will ensure the smooth operation of office activities, maximize employee productivity, and uphold our company standards. Your contributions will be vital in creating a positive work environment while managing essential administrative tasks.

Roles and Responsibilities:

  • Oversee the productivity and performance of office employees, ensuring adherence to company standards and deadlines.
  • Develop and manage the office budget, ensuring all employees comply with financial protocols.
  • Maintain office inventory, ordering supplies, furniture, appliances, and electronics as needed.
  • Create and manage monthly expense reports for various locations.
  • Handle accounts payable and receivable, including bank reconciliation, cash receipts, invoicing, and chargebacks.
  • Monitor employee training requirements for new hires and current staff, sending weekly updates.
  • Verify and organize new employment records, ensuring timely onboarding for all new employees in ADP.
  • Track employee time off, including PTO and sick leave.
  • Act as a liaison between employees and the payroll manager for any payroll-related inquiries.
  • Maintain a detailed record of maintenance requests, equipment orders, and fixes.
  • Assist with new projects, including construction and opening phases.
  • Manage reception duties including answering the phone and transferring calls as necessary.
  • Sort and handle incoming and outgoing mail.
  • Create documents, maintain databases, and distribute memos and emails efficiently.
  • Coordinate logistical arrangements for meetings or conferences, including travel and reservations.
  • Run errands and deliver materials as needed.
  • Organize and file office documents, including confidential records.
  • Manage digital document filing, ensuring secure handling of encrypted documents and email correspondence.
  • Prepare and process invoices and estimates accurately.
  • Package and ship company materials efficiently.
  • Assist with the airport badging process as required.
  • Keep records of tenant cloud accounts, ensuring prompt rent collection.

Requirements:

  • Minimum of 3 years of relevant experience.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, OneNote).
  • Experience with ADP systems.
  • Fluent in English.
  • Valid driving license.
  • Excellent organizational skills.
  • Strong communication skills, including verbal, writing, and listening.
  • Effective time management abilities with skills in prioritization, multitasking, and planning.
  • Outstanding customer service mindset with a positive attitude.
  • High typing speed and accuracy.
  • Solid computer skills, including basic troubleshooting and proficiency in office software.
  • Strong problem-solving and critical thinking abilities.
  • Ability to work independently with minimal supervision.
  • Attention to detail in all tasks.
  • Comfortable working in a fast-paced environment.
  • High School diploma or equivalent is required.
  • Must successfully pass a beginner to intermediate level Excel test.
